Ezytee Golf ("we", "our", "us") provides a golf booking and management platform that connects golfers ("Users") with participating golf clubs ("Partner Clubs") for tee-time bookings, payment processing, and club management tools.

We act as both:

  • a data controller for information we collect directly from Users and Clubs; and
  • a data processor for information shared between Users and Clubs for booking fulfilment.

2. Information We Collect

We collect the following categories of information:

a. Information You Provide Directly

  • Account details: name, email address, phone number, and password.
  • Profile information: optional preferences (e.g. favourite clubs, preferred tee-times).
  • Payment details: processed securely via Stripe (we do not store full credit-card numbers).
  • Club information: for Partner Clubs – business name, ABN, contact person, banking details for payouts.
  • Communications: any correspondence you send to us (e.g. via support requests or feedback forms).

b. Information We Collect Automatically

  • Device and browser information (e.g. IP address, operating system, screen resolution).
  • Site usage data (pages viewed, time spent, actions taken).
  • Cookies and similar tracking technologies (see Section 9 below).

c. Information From Third Parties

  • Payment processors (e.g. Stripe) for transaction verification.
  • Partner Clubs – booking confirmations or amendments.
  • Analytics and marketing tools (e.g. Google Analytics) for performance tracking.

3. How We Use Your Information

We use your personal information to:

  • Provide and operate our Service – enabling golf-course search, booking, payment, and account access.
  • Process payments securely and distribute them to the relevant Partner Club.
  • Communicate with you – including booking confirmations, updates, and support messages.
  • Facilitate Club relationships – sharing your booking details with the relevant Partner Club so they can fulfil your booking.
  • Improve our Service – analysing usage trends to enhance functionality and experience.
  • Send marketing communications, where you have given consent or where permitted by law.
  • Prevent fraud, misuse, or security threats.
  • Comply with legal obligations and enforce our Terms & Conditions.

4. Sharing and Disclosure of Information

We share your information only as necessary and in accordance with this Policy.

a. With Partner Clubs

When you make a booking, your relevant personal information (e.g. name, email, phone number, booking details) is shared with the Partner Club to:

  • confirm and manage your booking;
  • provide customer service related to your booking; and
  • send marketing or promotional messages about their golf services in compliance with the Spam Act 2003 (Cth), including a clear unsubscribe option.

Partner Clubs are independently responsible for their own compliance with privacy and spam laws when using this data.

b. With Service Providers

We use trusted third-party providers for:

  • Payment processing: Stripe;
  • Hosting and storage: e.g. Firebase, Vercel, or equivalent cloud providers;
  • Analytics and marketing tools: e.g. Google Analytics, Meta Ads;
  • Customer communication: e.g. email service providers.

These providers are bound by confidentiality and security obligations.

c. With Legal Authorities

We may disclose information if required by law, court order, or to protect our rights or those of our users.

5. Marketing Communications

a. Ezytee Golf Communications

We may send you marketing emails about updates, new features, or special offers.

You can opt-out anytime by clicking "Unsubscribe" in the email or contacting us directly.

b. Partner Club Communications

Partner Clubs may send you promotional messages about their golf services using contact details provided through your booking.

You consent to this when booking through Ezytee Golf.

Clubs must comply with the Spam Act 2003 (Cth) and include a clear unsubscribe mechanism in every message.

If you unsubscribe from a Club's marketing, Ezytee Golf will not override that preference.

6. Data Retention

We retain personal data only as long as necessary to fulfil the purposes outlined in this Policy, including:

  • Account data: retained while your account remains active.
  • Booking records: retained for 7 years for accounting and legal compliance.
  • Payment records: retained in accordance with financial laws.
  • Marketing data: retained until you withdraw consent or unsubscribe.

7. Data Security

We use reasonable technical and organisational measures to protect your personal data, including:

  • SSL encryption on all data transmissions;
  • secure servers and firewalls;
  • role-based access control;
  • encryption of sensitive data; and
